
Microsoft is expanding AI capabilities in Outlook, introducing new features that go beyond email drafting to automate calendar management and meeting scheduling.
The updates are part of broader enhancements to Microsoft Copilot, which is increasingly being integrated across Microsoft 365 apps.
AI that manages your inbox—and your time
Outlook can now use AI to accept, decline, or organize meeting invitations based on user-defined rules. For example, users can prompt Copilot with preferences like:
- Automatically accept meetings from a manager
- Decline specific types of events (e.g., “office hours”)
- Clean up canceled meetings
These rules allow Outlook to act more proactively, reducing the need for manual calendar management.
Smarter scheduling with Copilot
A new feature in Copilot Chat takes things further by handling multi-step scheduling tasks. Users can request meetings with prompts like:
“Schedule 30 minutes with the team next week and include an agenda.”
Copilot then analyzes availability, suggests time slots, and shows how each option fits into the user’s calendar before confirmation.
Email drafting gets collaborative
While AI-generated emails aren’t new, Outlook now adds a more interactive editing experience. Copilot can help refine tone, structure, and clarity, effectively working alongside the user instead of just generating text.
